Digitalization of Mediation, Arbitration, Negotiation and Conciliation (ADR) processes

Remote hearings and meetings via secure video conferencing

Meeting Requests, Agendas, and Automatic Minutes

Reliable identification of attendees and advanced digital signature of documents

Traceability of the entire process, from the first call to the final report

Mediation, arbitration, conciliation and face-to-face negotiations between parties remotely, easily and with legal guarantees

Councilbox allows any MASC process to be digitized so that all participants in the process can carry it out without having to travel and in a simple way.

Our solution allows the parties in conflict to be summoned to hearings or meetings, to exchange documentation and communications in a secure and certified way both in and out of meetings, to reliably identify the attendees of the meetings, both decision-makers of the parties in conflict and people who assist them (e.g. lawyers), to define and follow agendas in videoconference meetings,  record them, sign documents digitally and automatically generate and share minutes of meetings.

We guarantee the non-manipulation and non-repudiation of the decisions made, thanks to our Blockchain technology, which allows us to take electronic evidence of communications, documents and recordings made.

A single application where you can model any alternative dispute resolution process (ADR)

Registration of the dispute resolution process between parties

Once the mediator or mediation institution, arbitrator, arbitration court or tribunal, conciliation body or, in general, the professional or body that is going to mediate between the parties, receives the request to carry out the dispute resolution process, contacts the parties and they agree to carry it out, they register it in our application.

1

Call for a meeting between the mediation body and the parties to the conflict

Enter the details of the natural or legal persons in conflict and their possible representatives and send an initial call for a meeting by videoconference, with an agenda defined or to be defined in the meeting. If necessary, include as part of this process the documents that must be shared and/or register private folders for the contribution of documents in the private documentation portal that is created for the parties when registering the first meeting request.

2

Secure, private, and certified exchange of messages and documentation

The parties in conflict receive the summons and access to a private portal for the exchange of documentation and communication with the convening mediation body, in which every message or document is traced and cannot be manipulated.

In this portal, in which you have to identify yourself using the method that is parameterized from among the existing ones (identification number provided, password for unique use, biometrics, digital certificate) you can provide documents, download and read those provided by the mediator or the other party in conflict, and communicate with the mediator.

3

Mediation, arbitration, or conciliation meetings or hearings

When the time comes for the meeting, the parties and/or their potential representatives connect in a secure videoconference with protected access, which is administered and managed by the mediating body, which directs the meeting and proposes agreements, including in the minutes what is necessary, in the same way as would be done in a face-to-face meeting.

At the meeting, documents can be consulted simultaneously by all parties and, if an agreement is reached, the document generated with the final agreements can be digitally signed. This signature is fully valid and it is not essential for the parties to have a digital certificate.

If an agreement is not reached and it is decided to hold a new meeting, it is possible to schedule it by the mediating body before the end of the current one, agreeing on the date and time of the call, as well as the scope of the meeting.

4

Completion of the process: consultation and custody of documentation and evidence

Once the necessary meetings have been held, at the end of the process, with or without agreement, the parties and the mediator will have access on the private portal to all the documentation exchanged and/or signed, including minutes of the meetings.

Everything discussed in meetings and what is exchanged digitally is stored in the form of encrypted, non-manipulable electronic evidence on the Blockchain.
